Position Description

  • Reports to the Office Manager
  • Location - Armidale Office, 117 Faulkner Street, Armidale
  • Pay Rate $26.00 per hour (plus superannuation)
  • Hours - Permanent Part Time (approx. 32 hours per week – over 5 days)
  • Probation period 6 months

This position is designed to offer a centralised intake point, frontline administration support and increase the general administrative capacity for Home Nursing Group (HNG) staff and clients.

The position currently reports directly to the Office Manager.

Position Responsibilities

The position will provide intake and administration support for the organisation whilst also assisting with the day to day functions of reception. The incumbent will work under the broad direction of the Office Manager, however specific responsibilities will include:-

  1. Provide a high level of customer service through both telephone and face to face. Promptly and professionally answer incoming telephone calls.
  2. Provide a centralised point of entry for clients requiring HNG services in a sound, efficient and effective manner, which allows for a consistent approach
  3. Sensitively conduct initial screening for new clients
  4. Day to day liaison with clients regarding the provision of relevant information, referral process and intake processes. Responding to enquiries and feedback in a prompt, efficient, empathetic and supportive manner
  5. Administrative duties including; banking, mail, receipting, filing, collating of invoices and fax document control.
  6. Assist the clinical staff by preparing client files, indexing of files and ensuring clinical service forms and resources are in stock.
  7. Offer administrative support to staff as required and appropriate.
  8. Provide support as a member of the on-call team for after hour’s advice on a roster basis.
  9. Be aware of and apply Home Nursing Groups Policy and Procedures relating to Records Management, Risk Management, Work Health Safety and Quality Assurance as they apply to this position.
  10. Undertake other duties as required and relevant to the position.

Qualifications and selection criteria

  1. Relevant administrative qualifications and / or experience
  2. A demonstrated high level of communication and interpersonal skills including both written and oral communication
  3. Demonstrate strong attention to detail
  4. Demonstrated time management and organisational skills with an ability to cope with competing demands
  5. Demonstrate advanced skills and experience with a range of computer software packages and database applications, including the suite of Microsoft programs
  6. Demonstrated ability to successfully undertake duties and achieve agreed objectives within a team environment as well as independently applying own initiative.
  7. Demonstrated knowledge and understanding of EEO, WHS, risk management, quality assurance and records management requirements as they relate to this position.

Desirable selection criteria

  1. Experience within the aged care sector dealing in a compassionate and efficient manner with clients and their families
  2. Clinical knowledge
  3. Working in an intake service environment
